Transcripts

You can order your transcript by contacting the Office of Student Records by mail using our Transcript Request Form, by visiting our office in person, by faxing a transcript request form, or you can order transcripts online using WebSTAC. The office is open Monday thru Friday, from 8:30 am to 5 pm (Central Time Zone), and is located in the Women's Building, lower level. There is no charge for an official transcript.

NOTE: Students who attended the WU School of Medicine should request transcripts through the Registrar's Office at the Medical School.


Requesting Your Transcript

To ensure the integrity and privacy of the document, official WU transcripts are not faxed, e-mailed or issued electronically.

Faxed Requests

Print theTranscript Request Form, fill it out, sign it and fax it to us at (314) 935-4268. Requests received by 2:00 p.m. (Central time) will be sent out the next business day. Be sure to provide a complete mailing address.

Next Business Day

Once we receive your request for a transcript in our office, we will have the transcript either in the mail to the specified recipient -or- (if requested) the transcript will be available for pick-up any time after 11 am the next business day. Students picking-up transcripts must present some form of picture identification, such as driver's license or passport. Transcripts must be picked up within one week of the order.

Overnight Mail

To expedite the delivery of your transcript request to our office, you may use an overnight service such as Federal Express. Our campus location is room 50 in the Women's Building.

In order to have a transcript sent by Fed-Ex you must have a Fed-Ex Account Number and label. No credit cards will be accepted by the Office of Student Records.

  • To get a Fed-Ex Number and label go to fedex.com/us/
  • Choose your location and click on 'SHIP'. A drop-down menu will appear.
  • Choose 'Prepare Shipment On-line.'
  • Click 'Sign Up Now!' in the New fedex.com Users box
  • Follow the directions for registration
  • Put your own address in the From: section (if for any reason your package cannot be delivered it will be returned to you at this address).
  • Fed-Ex cannot deliver to a P.O. Box. Put complete addresses on your label.
  • Print your mailing label and fax or mail it with your request.

You will be billed directly by Fed-Ex. You must include your current address and phone number on the transcript request form. No transcripts will be sent by Fed-Ex without this information.

Mail Service Pick Up

The U.S. Post Office normally picks up outgoing mail from our office twice daily.


What Appears on Your Transcript

Your academic transcript is an official document that carries the University seal and the signature of the Director of the Office of Student Records. It is printed on security safe paper, which when photocopied will reveal the word copy throughout.

Degrees

Degrees awarded by Washington University will appear on your transcript with the conferral date, as well as second majors, minors, and certificates which have been completed.

Coursework

Your transcript is one integral record and contains all of the Washington University coursework for which you registered or received credit. It will contain semester by semester entries of courses, starting with the earliest semester and progressing to the most recent. The last entry on your transcript will be followed by a line and marker indication stating that there are "No entries below this line".

Credit Hours and Grades

Your transcript will show the number of credit hours for each course and the final grade received. The reverse side of your transcript contains a 'key', providing information on grade interpretation and the GPA scales we use for a particular school or division.

GPA

Grade Point Average (GPA) information will appear on your transcript only if your academic school/academic division permits the listing.


Issuing of Transcripts

The name of the recipient will appear on the transcript document itself. If the transcript is given to the student, it will also be stamped "ISSUED TO THE STUDENT".


Grade and Degree Posting

Students are strongly encouraged to review their academic record and grades using WebSTAC before requesting an official transcript. The grades appearing on your record at WebSTAC are the same grades that will appear on your official transcript.

Degrees are posted to your permanent record once the dean of your school and the Board of Trustees have approved the conferral of degree. Since Washington University confers degrees three (3) times during an academic year--August, December, and May--there are different times for finalizing degrees all dependent upon the degree month during which you are conferred.

The following are APPROXIMATE finalization dates for each of the degree conferral periods:

  • August: Degrees are finalized in early October and posted to your transcript with the August conferral date.
  • December: Degrees are finalized and posted in late-January with the December conferral date.
  • May: Degrees are finalized and posted on the May Commencement date.
