MOTIVATED INDIVIDUAL WITH 2-3 YEARS PREVIOUS ADMINISTRATIVE/SECRETARIAL EXPERIENCE REQUIRED. ASSOCIATE DEGREE OR EQUIVALENT KNOWLEDGE OR SPECIALIZED BUSINESS TRAINING PREFERRED. CANDIDATE SHOULD POSSESS A "CAN DO" CUSTOMER SERVICE ATTITUDE, STRONG ORGANIZATIONAL SKILLS, ABILITY TO USE DISCRETION, WORK UNDER MULTIPLE DEADLINES, AND USE PROFESSIONAL JUDGMENT. COLLABORATIVE TEAM PLAYER WITH COURTEOUS INTERPERSONAL SKILLS AND PROFESSIONAL TELEPHONE SKILLS FOR EFFECTIVE INTERACTIONS AT ALL TIMES, ASSISTING INTERNAL AND EXTERNAL INDIVIDUALS. Job Description:
THIS POSITION WILL REPORT TO THE SUPPORT STAFF SUPERVISOR AND WILL SERVE AS AN ASSISTANT TO TWO REGIONAL DIRECTORS. DUTIES INCLUDE: MAKE TRAVEL ARRANGEMENTS AND COORDINATE NECESSARY ACTIVITIES TO PREPARE DIRECTORS FORTRIPS. THIS PROCESS WILL INCLUDE CREATION OF THE PROSPECT PROFILE FROM EXISTING FILE AND ON-LINE DATABASE; ORDERING WORKBOOKS AND CLEARANCES; PREPARING TRAVEL ITINERARIES; PROVIDING ASSISTANCE WITH FOLLOWUP INCLUDING CONTACT REPORTS AND THANK YOU LETTERS; AND PREPARATION OF TRAVEL REIMBURSEMENT REPORTS. PREPARE FOR REGIONAL EVENTS, INCLUDING CREATING INVITATIONS, NAME TAGS AND RSVP LISTS, AND TAKING RSVP PHONE CALLS. PROVIDE OTHER ADMINISTRATIVE ASSISTANCE AS NEEDED, INCLUDING FILING, TELEPHONE COVERAGE, SCHEDULING APPOINTMENTS, TYPING REPORTS, CALENDAR COORDINATION, GREETING VISITORS, SORTING AND PRIORITIZING MAIL. CROSS TRAINING WITH OTHER ADMINISTRATIVE STAFF. PARTICIPATE IN SUPPORT STAFF TRAINING AND SUPPORT STAFF MEETINGS. OTHER ASSISTANCE AS REQUIRED BY THE SUPERVISOR AND TWO REGIONAL DIRECTORS.
